Roxy Bot Privacy Policy

1. What we collect

Roxy processes only the data needed to operate its features.

A) User and server data

• Discord user ID and username, stored to support preferences and related features.
• User preferences such as title language and embed color.
• Discord server (guild) ID and name, and server-level settings such as the auto-embed policy and release-notification configuration (channel, optional mention role, delivery logs).

B) Operational data

• Message content, read in-memory to detect AniList URLs for auto-embeds. Not stored.
• Slash command inputs and interaction metadata, used only to fulfill your request.

C) Diagnostics

• Error logs and performance data via Sentry.

D) Analytics

• Feature usage data via PostHog.

2. How we use data

• Provide Bot functionality (responding to commands, auto-embedding AniList links, sending episode notifications).
• Maintain reliability (debugging, monitoring, improving performance).
• Understand feature usage trends.

3. Legal bases (EEA/UK)

When applicable, we process data under:

• Contract/necessity: to provide requested Bot features when you invoke commands.
• Legitimate interests: maintaining security and improving reliability.

4. Sharing and third parties

We may share limited data with:

• Infrastructure and hosting providers used to run the Bot.
• Analytics provider PostHog.
• Error monitoring provider Sentry.
• Top.gg, to post aggregate server counts.
• AniList, for media lookups. Queries may include technical metadata such as IP addresses from our servers.

We do not sell your data or share it with third parties for advertising.

5. Data retention

• User and server data is retained until removed upon request.
• Message content is never stored.
• Log and analytics retention depends on provider configuration.

6. Your choices and rights

• Stop all processing by removing the Bot from your server.
• Request deletion of your stored data by contacting us.
• If you're in the EU/EEA, you may have rights to access, correct, delete, or restrict processing of your data, and to object to processing based on legitimate interests.

7. Security

We use reasonable technical and organizational measures to protect stored data. No system is perfectly secure. Avoid sharing sensitive information via bot commands.

8. Children

Roxy is intended for users who can use Discord under its rules. If you are a parent or guardian and believe a minor has provided data to Roxy, contact us to request deletion.

9. Changes to this Privacy Policy

We may update this Policy. Continued use of the Bot after updates means you accept the revised Policy.
